Village Hall Policies

Taking responsibility for all our visitors

We are dedicated to creating a friendly and supportive community space. Here you’ll find our Policies that help ensure a welcoming environment for all our visitors. Dive in to learn more about how we manage our events and facilities to best serve everyone.

Below are the Hall policies for reference

Safety

West Hatch Village Hall aims to make our hall a safe place for all who use it.  On site we have trained Trustees in the event of an accident and have, with the help of the Parish Council, put a defibrillator in place on the outside wall of the hall.  We welcome your suggestions to make our Hall as safe place for you and others.  Inside we have audio-visual equipment that is up to date and helpful for those who are hard of hearing and who need visual displays to help them understand in a crowded room.

We have developed a system that uses risk assessments to identify hazards and mitigate these by our actions to reduce their impact.  We take the health and safety of all users seriously and attached are a number of our procedures and risk assessments for your information. We display the HSE notice used by those in employment even though all our Trustees are volunteers.  Accidents are recorded and placed near our First Aid box for regular review.

Safeguarding

We keep email data to advise you of what we are offering and to keep you informed.  You are able to ask at any time that we remove your information from our email list. People who move out of the area often request this.

See Data Protection Policy.

Although volunteers prepare and make our food we encourage the highest standards of welfare, care hygiene and control when making and storing food and food products. All volunteers are asked to ensure they wash their hands at the kitchen sink station prior to food preparation and follow the guidance we have set in place.

We take our duty of care seriously for all children and vulnerable adults who use the hall and engage in activities that we deliver.  We expect parents and carers to accompany children and to maintain safe behaviours in the hall. Vulnerable adults should be accompanied or supported by a Trustee when using the hall.  We do not permit lone working by our volunteers when in the hall especially those of mature years, e,g 70 and above.  We hold Employer’s Liability and Public Liability Insurance Cover for all who use the hall and check that that our external trainers hold suitable cover for the activities they lead.

The Trustees are committed to making West Hatch Village Hall a place that cares for the environment in which we live and work.

See Environmental Policy.

A dedicated team of local residents enable the Hall to be a safe envrionment, where everyone is welcome

Who we are...

The Trustees

A Committee of Trustees, appointed each year at the Annual General Meeting, has governed the Hall since its incorporation as a charity. Their stewardship ensures the Hall remains true to its founding purpose.

Trustees and Friends of the Hall

The Trustees supported by our Friends group has raised thousands of pounds for improvements and events. Their energy and generosity have helped fund everything from new equipment to special community celebrations.

Local Volunteers

The Hall has always been run entirely by volunteers who give their time freely. From setting up chairs to organising events, their quiet dedication makes everything possible.

Supported by the Community Lottery Fund and our Parish Council we have continued to thrive.
